What is Microsoft 365 Copilot and how does it fit into our daily work?
Microsoft 365 Copilot is an AI assistant built directly into the Microsoft 365 apps your team already uses—such as Word, Excel, PowerPoint, Outlook, Teams, Loop, and the Microsoft 365 web app.
It combines advanced AI models with the web and your own business data to provide real-time assistance. In practice, this means your employees can:
- Boost productivity by summarizing long emails, documents, and meetings instead of reading everything from scratch.
- Speed up content creation by drafting job descriptions, offer letters, project plans, promotion plans, and presentations from prompts.
- Gain quick insights from large volumes of content—Copilot can pull together information from across Microsoft 365 and present it in a concise way.
- Improve collaboration by organizing meeting notes, assigning follow-up tasks, and sharing summaries across Teams, Outlook, and Loop.
You access Copilot right inside the apps:
- In the Microsoft 365 app or at microsoft365.com/copilot for Copilot Chat.
- In Word, Excel, PowerPoint, Outlook, and others by clicking the Copilot icon on the Home tab.
Because it’s integrated into existing tools, teams can start to reimagine how they work—without changing their core workflows or learning a completely new system.

What can I actually ask Copilot to do, and how do I get better results?
Copilot is prompt-driven: you tell it what you want in natural language, and it generates content or insights based on your request and your business data.
Here are some example prompts from everyday work scenarios:
Quick catch-up and insights
- “Summarize emails where I was mentioned.”
- “Teach me about [concept] in a way a non-technical person could understand.”
- “Review this document [File] and summarize all references into bullet points.”
- “What were the key points discussed in last week’s spotlight meeting?”
Content creation and communication
- “Generate a job description for a [Role]. Include bullet points from the [Role] core responsibility list.”
- “Draft a personal email I can send to people in [Role] to call their attention to [Product]’s launch.”
- “Draft an offer letter to [Name] with a start date of [Date]. Include our benefits information and use a professional tone.”
- “Invite [Client] to a meeting to discuss our core offerings. Include three time options.”
Meetings and presentations
- “Create a storyboard for a 60-minute keynote where I need to engage a room full of [Audience] about [Topic]; use [File] and [File] as background.”
- “Draft a summary from last week’s spotlight meeting and include top customer pitch tips.”
- “Update the pitch template slide using the recap from last week’s Teams meeting. Include the client’s logo on the slide.”
- “Summarize the client’s profile, promotion plans, and taglines and separate into three new slides.”
Improving your prompts
- Be specific about the goal (e.g., “professional tone,” “bullet points,” “for a non-technical audience”).
- Reference files, meetings, or emails Copilot should use as input.
- Iterate: ask Copilot to refine, shorten, expand, or change the tone of its first draft.
To help your team build stronger prompting skills, Microsoft provides a Prompt Gallery at aka.ms/PromptGallery, which includes guidance, examples, and tips and tricks for getting better results. Over time, this helps teams reimagine how they use AI to generate ideas, tell stories, translate content, solve technical problems, and more.
